At Letters we are taking the spread of coronavirus extremely seriously. Our number one priority remains the safety and wellbeing of our staff and customers. We are staying well informed of the developing situation and are following the advice and recommendations from the Government, Public Health England and the World Health Organisation.
To protect our landlords, tenants, leaseholders, contractors and staff members we would like to outline our policy in response to the current events:
Should anyone need to visit our office this will be strictly by appointment only. Please do not take offence at this; we are trying to keep our team and customers safe as well as prevent the spread.
All viewings in vacant properties will continue as normal unless any of the following applies to the applicant: they have travelled overseas since the start of 2020; they have any symptoms of Covid-19; they have been in contact with anyone with the symptoms of Covid-19 or they are in an ‘At Risk’ category.
All maintenance will continue as normal. Should the situation deteriorate, this will be re-evaluated. We are asking that contractors exercise safe practice protecting themselves and others from the virus by following the advice from the relevant bodies (outlined below) and using disposable gloves whenever possible.
Tenants will be asked if any of the following applies before a contractor visits: they have travelled overseas since the start of 2020; they have any symptoms of Covid-19; they have been in contact with anyone with the symptoms of Covid-19; they have been advised to self-isolate or they are in an ‘At Risk’ category. If so, the visit will be postponed unless urgent. We also ask that contractors advise us if any of the aforementioned points apply to them or their employees, leaving them unable to carry out planned works. If a maintenance visit has been arranged prior to now, we ask that tenants contact us to advise if they have experienced any symptoms prior to the visit so we can re-arrange as needed.
Property visits will be postponed for the time being to safeguard both tenants and staff. In the meantime, if there are any issues that require addressing they can be raised as normal through our maintenance reporting system or by emailing us at firstname.lastname@example.org.
Should members of our team need to self-isolate, they will be able to do so with our full support. We have contingency plans to enable the business to continue operating on a skeleton basis, with staff working from home where possible.
The safety and health of both our team and those we meet is paramount therefore we will do all we can as a business to ensure our actions minimise the impact of Covid-19 on all our clients.
These are unprecedented times and as such no one can predict how individuals will be affected. We are on hand should anyone have any queries with regards to the outlined policy.

How to protect yourself from Covid-19
- Regular hand washing with soap and water for at least 20 seconds
- Using regular hand sanitiser gel
- Cover your mouth or nose with tissue rather than your hand when coughing and sneezing
- Put tissues in a sealed bin as soon as possible
- Avoid close contact with others who are unwell
- Avoid touching your face
What to do if you think you have Covid-19
- Remain at home and self-isolate
- Do not visit your GP or hospital
- Use the NHS 111 online coronavirus service for further advice.
